Job Summary: We are seeking a highly organized and professional Executive Assistant to provide high-level administrative support to our executive team. The ideal candidate will possess exceptional communication skills, be detail-oriented, and have the ability to manage multiple tasks efficiently. This role plays a crucial part in ensuring the smooth operation of the executive office and contributing to the overall success of the organization.

Responsibilities:

  1. Executive Support: Provide comprehensive administrative support to the executive team, including scheduling meetings, managing calendars, and coordinating travel arrangements.
  2. Communication: Act as a primary point of contact between the executives and internal/external stakeholders. Screen and manage phone calls, emails, and other forms of correspondence.
  3. Documentation and Reporting: Prepare and edit documents, presentations, and reports as requested by the executives. Maintain confidentiality and handle sensitive information with discretion.
  4. Meeting Coordination: Plan and organize meetings, conferences, and special events. Prepare agendas, take meeting minutes, and distribute action items to ensure effective follow-up.
  5. Travel Arrangements: Manage complex travel itineraries, including flights, accommodations, and ground transportation. Ensure all travel plans align with the executives’ schedules.
  6. Expense Management: Track, process, and reconcile expenses for the executive team. Ensure accuracy and compliance with company policies.
  7. Task Prioritization: Prioritize and manage tasks to optimize the executives’ productivity. Anticipate their needs and proactively address them.
  8. Information Management: Maintain and organize electronic and paper files, ensuring easy access to critical documents and information.
  9. Project Support: Assist in special projects and initiatives as needed, providing research, data analysis, and project coordination support.
  10. Office Management: Oversee the general office environment, including ordering supplies, managing office equipment, and liaising with building management
